Slide Standards & Technical Requirements
16:9 Widescreen Format
Format all presentation slides strictly in 16:9 widescreen layout. Supported extensions: .PPTX and .PDF.
Embedded Videos
Embed video files directly (.MP4 format, max 1080p). Do not use online links to prevent playback delays.
Typography
Use standard system fonts (Arial, Calibri, Helvetica). Maintain body text at minimum 24pt for hall visibility.
File Naming Protocol
Save files as: Track#_LastName_SessionDate.pptx
Speaker Ready Room & Stage Procedures
1. Speaker Ready Room Check-In
Report to Room 102 at least 2 hours prior to your session to verify slide rendering with AV technicians.
2. Physical USB Backup
Always carry a secondary copy of your presentation deck and video media on a standard USB flash drive.
3. Session Chair Introduction
Arrive in your hall 10 minutes prior to meet your Session Chair and test the microphone and slide advancer.
Poster Presenter Guidelines
Dimensions
Standard A0 Portrait (841 mm × 1189 mm / 36” × 48”). Landscape format will not fit.
Mounting Schedule
Mount displays before 08:30 EDT on Day 1. Boards, numbers, and push-pins provided.
Author Defense
Stand by your assigned board during official catered morning and afternoon coffee intervals.
Clinical Presentation Best Practices
Time Management
Rehearse with a timer. Session Chairs will enforce strict cut-offs to keep parallel halls synchronized.
High-Contrast Visuals
Use dark text on clean light backgrounds. Emphasize clinical charts over dense text blocks.
Translational Takeaways
Conclude with 2–3 clear evidence-based takeaways that clinicians can translate to bedside care.
